Privacy Policy

DairyForge LLC ("DairyForge," "we," "us") operates dairyforge.com and a related mobile application that drivers and dispatchers use to coordinate milk-hauling operations. This policy explains what we collect, why, how we share it, and your choices. If something is unclear, email support@dairyforge.com.
1. What we collect
- Account information. Name, email, phone number, and role (driver, dispatcher, plant operator, administrator). Collected when you create an account or are added by an administrator.
- Operational data. Vehicle assignments, route plans, milk pickup confirmations, inspection records, wash events, and driver shift status. Generated as you use the service.
- Location. When the driver mobile application is open and a shift is active, we collect GPS location at regular intervals so dispatchers can monitor live operations and so we can verify pickup and delivery events.
- Voice recordings and transcripts. The optional voice-assistant feature ("Kora") sends short audio snippets to our voice processing partner for real-time transcription. Audio is processed in transit and is not stored as raw audio; transcripts of voice commands are retained with the operational record they belong to.
- Device and log data. Standard server logs: IP address, user agent, request timestamps, error traces. Used to operate and secure the service.
- Communications. If you send us an email or submit a form, we keep that record so we can respond.
2. Why we collect it
- To operate the dispatch, routing, and inspection features you signed up for.
- To send operational notifications by SMS, email, and in-app push (see Section 4 and our Driver SMS Terms).
- To monitor and improve service reliability, accuracy, and safety.
- To meet legal, tax, and regulatory recordkeeping obligations applicable to commercial motor carriers.
3. How we share it
We do not sell personal information. We share data only with service providers required to operate DairyForge, and only the minimum data each one needs:
- Clerk (authentication and account management).
- Twilio (SMS and voice number routing).
- Hume AI (voice transcription for the Kora assistant).
- Vercel (website hosting).
- Fly.io (API server hosting).
- Neon (managed Postgres database).
- OpenAI / Anthropic (language model inference for voice + dispatch reasoning).
We may also share data with your employer or customer organization (the dairy, hauler, or plant that gave you your DairyForge account), with law enforcement when required by valid legal process, and with a successor entity in the event DairyForge is acquired.
4. SMS / Text messaging
DairyForge sends operational SMS to drivers and dispatchers who have consented at hire or onboarding under the DairyForge Operational Alerts program. These are transactional / operational messages only — shift assignments, dispatch alerts, call-off notifications, and safety reminders sent to the company's own drivers and dispatch staff.
Mobile phone numbers collected for this program are used exclusively for operational notifications. We do not sell, rent, or share mobile phone numbers or any personal data with third parties for marketing or advertising purposes.
Message frequency varies with shift activity. Message and data rates may apply. Reply STOP to opt out at any time. Reply HELP for help or contact support@dairyforge.com. Carriers are not liable for delayed or undelivered messages. See the full Driver SMS Terms for complete program details.
5. Retention
Operational records (pickup, delivery, inspection, wash) are retained as long as your account is active and for the period required by state and federal motor-carrier recordkeeping rules (generally six months to three years depending on record type). Standard server logs are retained for up to 90 days. Voice transcripts are retained with the operational record they belong to.
6. Security
We use TLS in transit, encrypted database storage at rest, role-based access control, and signed authentication tokens. No system is perfectly secure; if you believe your account has been compromised, email security@dairyforge.com immediately.
7. Your choices
- You can request a copy of the personal data we hold about you by emailing support@dairyforge.com.
- You can request correction or deletion of personal data subject to our recordkeeping obligations described above.
- You can opt out of SMS by replying STOP. You can disable location sharing by closing the mobile app or signing off shift; some service features will not work without location.
8. Children
DairyForge is intended for use by adult commercial drivers, dispatchers, and plant operators. We do not knowingly collect information from anyone under 18.
9. Changes
We may update this policy. Material changes will be announced on this page with a new "Last updated" date and, where the change affects you directly, by email or in-app notice.
